POSITION SUMMARY:  
The HOA Coordinator is responsible for assembling all documents required for HOA approval. It is the responsibility of the HOA Coordinator to keep the installation ready flow consistent.   
 
  
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:   
  
    • Collect & submit documents for HOA
    • Work with Permit Coordinator to route Permit Technicians to obtain customer signatures for HOA applications
    • Request HOA checks from accounting  
    • Request refunds from HOA when applicable 
    • Ensure checks make it back to accounting
    • Upload HOA corrections and notify the design team in Podio  
    • Prepare and update reports for Weekly Meeting  
    • Answer customer questions regarding HOA's
    • Perform other duties as assigned  
     
 
QUALIFICATION REQUIREMENTS:   
  
Education & Certifications:  
    • High School Graduate or GED 
     
 
Experience: 
  • Office or clerical experience preferred 
  • Basic computer skills
 
 
Knowledge, Skills & Abilities:  
 
  • Ability to thrive in a team environment  
  • Ability to manage workflow  
  • Ability to multitask
  • Excellent customer service skills  
  • Excellent written and verbal communication skills required 
  • Regular, reliable, and predictable attendance required
  • Attend weekly webinars or departmental calls  
  • Ability to communicate with different departments efficiently with no less than a 24-hour turnaround time
  • Must submit all designs finished by the design team within a 24-hour turnaround 
  • Maintain expense reports for daily transactions  
  • Submit weekly reports for checks and monthly reports for all credit card transaction
 
 
 
Special Skills & Training:  
  • Must have a clean driving record, valid state driver's license  
PHYSICAL DEMANDS AND ABILITIES: 
  • Regularly spend long hours sitting and using office equipment and computers
  • Regularly spend long hours answering phone calls and emails 
  • Regularly move from sitting to standing positions effortlessly 
  • Regularly spend long hours in intense concentration reviewing and entering information
  • Regularly use hands and fingers to handle, control or feel objects 
  • Regularly see details of objects that are less than a few feet away 
  • Regularly speak clearly so listeners can understand 
  • Regularly understand the speech of another person
  • Frequently work  on projects that require deadlines 
  • Frequently bend to file and maintain files
